Whether this is due to them returning from maternity\/paternity leave, going part-time, compressing hours into a reduced number of workdays, increasing their hours where working from home options negates a nasty commute etc&#8230; regardless of the reason, your HR System needs to be able to cope with that change.<\/p>\n<h2>Using Absence Accruals when a Team Member Changes Working Hours<\/h2>\n<p>Sage People is fully adept at handling all sorts of working arrangements in absence rules. The pro-rata options in configuration are great and work for many of these scenarios, except perhaps the dreaded \u2018different hours each day\u2019 work patterns &#8211; but even then, absence adjustments make them easily manageable! However, what do you do when someone initially changes their hours to ensure that the accrual is correct?<\/p>\n<p>This is where absence accruals come into their own. There are other ways of handling this, but accruals are my method of choice. In Sage People, the FTE\/Hours worked fields sit on the employment record, so left untouched, the accrual rule will stretch back to the employee\u2019s start date. This, in turn, will create inaccurate accruals, particularly where carryover is allowed from year to year.<\/p>\n<p>In the below example, my team member, \u2018Employee Tester\u2019, is changing from 35 hours per week to 20. In their employment record, you can see they start with an FTE of 1.000:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4065\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Absence-Accurals_SC-1-min.png\" alt=\"Sage People Absence Accruals Learn more\" width=\"397\" height=\"135\" \/><\/p>\n<p>You can see how this impacts the accrual by hovering over <strong>the Absences related list<\/strong> and clicking on the <strong>Accrual Log<\/strong><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4077\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People_Absences-related-List_image-2-min.png\" alt=\"Sage People Absences related List Learn more\" width=\"602\" height=\"132\" \/><\/p>\n<p>In the <strong>Accrual Log<\/strong>, you can see a wide range of information &#8211; this is genuinely my favourite screen in the entire system, particularly in UAT. I\u2019d recommend you get familiar with it!<\/p>\n<p>In the <strong>Details section<\/strong>, you can see the team member you\u2019re looking at, their workday and accrual pattern, and you can select an absence type, reason and date range to explore.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4067\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Absence-Rule-Selection_image-3-min.png\" alt=\"Sage People Absence Rule Selection Learn more\" width=\"598\" height=\"234\" \/><\/p>\n<p>In the <strong>Calculations section<\/strong>, you can see their current totals, as of the end of the range you\u2019ve selected, and the totals for the year. If the selected range is the full current year, you will see the same information in both.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4066\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Absence-Calculation-Results_image-4-min.png\" alt=\"Sage People Absence Calculation Results Learn more\" width=\"451\" height=\"276\" \/><\/p>\n<p>Beneath this, you can see the <strong>Accrual Log<\/strong>, showing the accrual and usage for the date range selected. In addition, it shows the amount being added each period, any time in lieu and carry over, as well as the growing accrual.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4070\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Accural-Log_image-5-min.png\" alt=\"Sage People Accrual Log Learn more\" width=\"632\" height=\"120\" \/><\/p>\n<p>We\u2019re particularly interested in the growing accrual as if we change the hours, this will stretch right back to the start date and create an inaccurate accrual.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4071\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Accural_image-6-min.png\" alt=\"Sage People Accrual list Learn more\" width=\"120\" height=\"331\" \/><\/p>\n<p>Select just the current date range, taking it to the current day:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4076\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-system-date-range_image-7-min.png\" alt=\"Sage People system date range Learn more\" width=\"321\" height=\"41\" \/><\/p>\n<p>In the current totals section, you can see the accrual as of right now. Take a note of this number, because once you change the Team Member\u2019s hours, this will change<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4074\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Accurals-total_image-8-min.png\" alt=\"Sage People Accrual totals Learn more\" width=\"390\" height=\"100\" \/><\/p>\n<p>If you change the team member\u2019s hours (for example, to 20), the FTE should change automatically upon saving.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4072\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Accurals-FTE_image-9-min.png\" alt=\"Sage People Accruals FTE Learn more\" width=\"387\" height=\"141\" \/><\/p>\n<p>Heading back to the <strong>Accrual Log<\/strong>, we can now see that the amounts have changed to reflect the pro-rata accrual rates<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4068\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Accrual-logs-snapshot_image-10-min.png\" alt=\"Sage People Accrual logs snapshot Learn more\" width=\"602\" height=\"125\" \/><\/p>\n<p>This is where you need the number we kept earlier. From this screen, you can select the \u2018<strong>New Absence Accrual<\/strong>\u2019 button<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-4075\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Create-absence-accrual_image-11-min.png\" alt=\"Sage People Create absence accrual Learn more\" width=\"602\" height=\"287\" \/><\/p>\n<p>In the \u2018Create Absence Accrual\u2019 screen, you can select the effective date (the date that the working hours come into effect), the accrual rule, and enter the accrual that the Team Member had up until that point (the number you\u2019d previously kept). You can also add in any remaining carry over here if needed.<\/p>\n<p>Once you\u2019ve done that and saved the record, you can navigate back to the <strong>Accrual Log,<\/strong> where you\u2019ll see the figures have changed again. For example, in the image below, you can see I\u2019ve selected the full year from the new accrual date to the end of December:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-4069\" src=\"https:\/\/tugelapeople.com\/wp-content\/uploads\/Sage-People-Accural-log-screenshot_image-12-min.png\" alt=\"Sage People Accrual log screenshot Learn more\" width=\"1076\" height=\"193\" \/><\/p>\n<p>Most importantly, you can see in the <strong>Accrual column<\/strong> that the bottom row actually begins with the carried over accrual from the day the person changed working hours.
