New Team Member: Charlie Gray

Sage People Lightning Update – Are you Ready?

Salesforce Lightning, first announced at the 2016 Sage Summit as the next stage of Sage’s strategic partnership with Salesforce, has launched.

What is Lightning Experience?

Salesforce Lightning UpdateLightning Experience is the next generation of the Salesforce platform that aims to deliver a new modern user interface and improved navigation.

In terms of Sage People, this means that the look and feel of the HR portal will automatically change from the Salesforce Classic to the Lightning Experience interface. There is no deadline to stop using Classic. You can toggle back to Classic at any time, but new features will only be available in Lightning – an incentive to get to grips with the new interface.

It’s worth noting that this update does not impact the self-service portal (WX). It only affects the HR portal so employees across the rest of your organisation won’t be affected.

Intuitive and user-friendly

At Tugela, we like the new look and feel, and navigation that this Sage People Lightning update brings to the HR Portal.

We love the fact the dashboards and reports are more intuitive and user-friendly. It is now easier to, not only drag and drop but also stack components on dashboards without having to align them precisely. This new feature gives users much more flexibility in how their dashboards look.

Sage People have various resources available to help users get ready for the change. As a starting point, they suggest:

Like any change in an organisation, it does require some management to ensure it is embedded effectively.  Thomas Schilling, Managing Director at Tugela People, elaborates:

Handy 2020 Sage People Checklist

With the New Year here, Jamie Wilkins, Principal Managed Services Consultant shares his handy end-of-year housekeeping tips to help you check that your Sage People system continues to run smoothly.

Sage People 2020 Checklist:

  1. If you use exchange rates and they need to be updated annually, so remember to update them.
  2. Check that Sage People licences for all leavers have been deactivated and review that there are enough licences available for your medium-term requirements.
  3. Remember to create absence adjustments for 2020 for those who have them.
  4. Check date ranges on scheduled reports to ensure they mirror the company financial year. But be aware that this feature is not available in Lightning and alternative scheduling approaches would need to be used.
  5. Remember to post your Festive and New Year messages on your Employee Self Service or better still schedule them to appear/disappear.
  6. For those using strategic objectives, remember to edit the strategic objectives picklist to align with the Company’s 2020 Corporate Objectives.
  7. Remember to check that Snapshot reporting is working and is scheduled to run in case you need headcount figures as at the end of the year.
  8. Check that public holidays (bank holidays) not set as “reoccurring” are correct for 2020 (and beyond if you have future years). Do note in 2020 the May Day Bank Holiday has been moved back four days to coincide with the 75th anniversary of VE Day.
  9. Check that Hold Absence Balances are set to run, as this is very useful for reporting.
  10. Those using the Resource Manager, remember your new Active Resource Plan for 2020 to track the budgeted and signed off New positions.
  11. Remember to check that Carry Over has been set up on your absence accrual patterns.
  12. Consider setting up and using Pulse surveys to capture feedback from employees for an end of year engagement check-in.
  13. Also, consider using WX Reports if you don’t already – they can give Managers insights into their team’s performance over the last year, including absence, objectives and recognition, and ensure they can effectively track performance over the year to come.
  14. Schedule any annual compliance notices to appear on the Employee Self-Service and track which employees have signed the agreement.
  15. Review new functionality in the Winter 20 release such as Conversations, People Groups, Time and HR Request enhancements, as well as new Hiring Manager Field Sets
  16. Lastly, are you ready for Lightning? The Salesforce Lightning experience is now scheduled for Sage People’s January 20 release and will offer a more intuitive and optimised user interface for your HR Portal, as well as system enhancements.

Sage People Winter 20 Release

As the season turns, Sage People are getting ready to release their next set of enhancements with the Sage People Winter 20 Release. With this latest release, they are aiming to improve efficiencies and offer users more flexible ways of working while improving engagement.

Aligning with Salesforce

Also, with this release, Sage People have dropped the nautical theme and now base the naming and timing of their releases on the Salesforce model. Salesforce, in some cases, announces new functionality a year in advance hence Winter 2020. In reality, Sage People are updating their customer live orgs on the 28 October (for EU8, EU9 and EU15 located orgs) and then on 4 November for all others

 

Sage People Winter 20 Release includes the following new features:

  • Groups and teams – improve how users organise, develop, recognise and communicate. Enables self-service users to create project groups, etc. and administer these. Groups can be formed across reporting lines for agile project planning purposes rather than hierarchy based.
  • Absence accrual log pagination – improves the user experience and performance of absence accruals. These screens have been made more manageable by enabling HR Managers to view results based on a date range.
  • Absence calculator 2.0 now in payflow – extending the recently improved absence calculator to payflow. This means payflow can now include absence records created as part of the new Time Off functionality.
  • Delegated access to timesheets for executive assistants – creates more flexibility around timesheet management. For example, delegated assistants can now create, submit and approve timesheets for their manager or their colleagues.
  • Absence balance enhancements – improve visibility of leave balances so you can plan more effectively. Accrual balance can now be displayed in the hr portal for any absence type that accrues, e.g. additional or voluntary entitlements, etc. and not just accruals based on holiday patterns.
  • Continuous conversations (beta) – improve how you manage performance through better engagement. Replaces the continuous feedback functionality. Continuous conversations are more flexible and are not coupled to Performance Reviews anymore. So Continuous conversations can occur independently from the Performance Review screen in the self-service. Managers and direct reports can now also add attachments to conversations.
  • People management workflow (pilot) – enhances the user experience of people management processes. The pilot begins week commencing 11 November. This enhancement is set to revolutionise how managers work with HR Requests. A new user interface means that manager-based changes, promotions, etc. have separate screens. Managers can also generate proposed changes for several employees at one time.
  • Update to the hiring manager portal – gives hiring managers more flexibility and control over their job posts. Further fields can be presented to hiring managers, as part of the list of vacancies that they see, as well as individual vacancies themselves, so that they have all the information they need to hand.

Proud Sage Life Cycle Sponsor

Here at Tugela People, we are proud to be a corporate sponsor the forthcoming Sage Life Cycle, a three-day charity cycle to Paris organised by the Sage Foundation.

In addition, we are delighted to have one of the Tugela People team, Dave Morris, on the starting line on the 25th July. Dave, a Senior HRIS Consultant, will be embarking on this challenge of lifetime – over 100 miles a day only stopping for water. It has been likened to running a marathon a day for three days!

Apart from the personal, physical and mental challenge for Dave, he is also participating to raise money for his chosen charity. Dave explains:

‘I have chosen to support The British Heart Foundation. Two years ago, my Dad died from a heart attack at the age of 90. The remarkable part of this story is, this was my Dad’s fifth heart attack, the first being at the age of 60.

Without the research into heart disease, my Dad’s life would have been shortened by a considerable number of years.

Heart disease is still the greatest cause of death in the UK and there is still much more that can be done not only to save lives but also improve the quality of lives from those suffering from heart disease.’

Head of Client Implementations Appointed
